The Media Resources Centre Equipment Rental Agreement, also known as the Borrowers' Policy Agreement, outlines borrower responsibilities, guidelines and user information for borrowing equipment from Media Resources Centre.

It is mandatory to complete the Borrower's Policy Agreement prior to borrowing equipment from Media Resources Centre. By completing the Borrower's Policy Agreement, you, the Borrower understands and agrees to the terms and conditions set by the policy agreement.

Respect and Safe Environment for our Staff

The Media Resources Centre Technical Staff are committed to providing a positive and supportive experience for all students, faculty, and staff. Our staff take their work seriously and feel privileged to be able to play an important role in this community.

Our staff have the right to a safe and supportive work environment, and we expect that everyone will behave appropriately and respectfully at all times.

Unacceptable behavior towards staff members can affect their health, safety, and well-being. These include, but are not limited to:

  • Physical abuse or threats of violence of any kind, including physically intimidating behavior such as aggressive hand gestures or invading another person鈥檚 personal space.
  • Speaking or behaving in a rude, aggressive, or threatening way, either in person, via email, social media, or over the telephone.
  • Sending demanding, rude, confronting, or threatening letters, emails or text messages
  • Discriminatory or derogatory comments.
  • The use of social media or public forums to make inappropriate or threatening remarks to staff.
  • Disorderly conduct and disturbing the peace or any behaviors that disrupt or affect operations.
  • Sexual or any other harassment.
  • Behavior which contravenes the BC Human Rights Act as amended from time to time.
  • Damage to property, theft and assaults on individuals.
  • Possession of a weapon.

Possible implications
Unacceptable behavior towards staff or denying our staff a respectful and safe environment could lead to:

  • A warning
  • Refusal of service
  • Disciplinary action
  • A temporary or permanent hold on borrowing privileges
  • Prevention of registration in a subsequent semester
  • Transcripts being withheld

Access

  • The Borrower must be a current 全民彩票 student enrolled in regular credit courses, faculty or staff member.
  • The Borrower must present a valid OneCard each time equipment is signed out from the Media Resources Centre. Using someone else鈥檚 OneCard is not allowed.
  • The Borrower must read, understand, and complete the current Borrower鈥檚 Policy Agreement.
  • Access to restricted equipment will vary depending on the Borrower鈥檚 department, program, enrollment status, and completed workshops/tests.
  • Equipment may be borrowed for in-classroom use, course projects, and faculty and staff research projects.
  • Equipment may not be borrowed for personal or commercial use.
  • Equipment loans are subject to equipment availability.
  • Equipment may be reserved or picked up on a first come, first serve basis.

Reservations

  • For regular loans, at least one (1) full working day advance notice is required when requesting an equipment reservation. At least one (1) week is required for exhibitions and extended loans.
  • Equipment reservations can either be made via the self-serve Patron Portal via a link on our website, by email, or in person. Reservations are handled on a first come, first serve basis.
  • Requests received outside office hours will be processed on the next workday.
  • An equipment reservation confirmation email will be sent to your 全民彩票 email address to confirm your booking. If you do not receive an equipment reservation confirmation email, contact Media Resources Centre in-person, by telephone, or email.
  • Reservation does not guarantee equipment availability.
  • Equipment bookings that are not picked up within an hour of the reservation pick-up time may be canceled and reassigned to other borrowers.
  • Reservation procedures and policies for reserving FMSA equipment differ. Contact FMSA Department techs for FMSA-related bookings. Confirmation email from FMSA is not the same as the Media Resources confirmation email.

Borrowed Equipment

  • The Borrower must be present and provide their OneCard upon pick-up.
  • When picking up an equipment booking, the Borrower is responsible for checking that all parts and equipment are in good working condition and that there are no missing pieces before leaving the Media Resources Centre.
  • The university is not responsible for any re-shoots or other costs incurred due to faulty equipment.
  • The Borrower must report broken or faulty equipment to Media Resources staff in person, over the phone or by email with a description of the equipment problem.
  • The Borrower is responsible for knowing how to set up and operate equipment.
  • Media Resources staff are available to go over basic operations and troubleshooting equipment. For in-depth tutorial/troubleshooting, please refer to your department鈥檚 technician or our online resources.
  • It is the Borrower's responsibility to make sure that all equipment is returned clean and dry, in good working condition, with all the cables coiled properly, and equipment pieces packed properly in the right cases.
  • For the Borrower鈥檚 safety and privacy, the Borrower is responsible for deleting content from storage devices (SD cards, laptops, flash drives, etc.) before returning the equipment to Media Resources.
  • In the event of theft, loss, or damage, the Borrower may be responsible for the cost of replacement or repair.

Loan Periods

  • Regular Loans. Most production equipment is two (2) days in duration. A booking beginning on Monday is due back on Wednesday, equipment borrowed on a Tuesday is due back on Thursday, equipment borrowed on a Wednesday is due back on Friday and equipment borrowed on Thursday or Friday is due back on the following Monday
  • Day Loans. Certain equipment like laptops, adapters, computer accessories or any other presentation equipment are day-loan use only and are due back before 10pm. All Day Loan equipment is campus use only and not to be taken off campus. Some high demand items like chargers are three (3) hours loans only.
  • Weekend Loans. If the return day of a regular-loan falls on a weekend or a holiday, then the return day automatically moves to the next workday. For example, equipment signed out on Thursday or Friday will be due back the following Monday.
  • Extended Loans. Extended loan periods may be requested and are subject to approval. Please send in your request at least one (1) week in advance.
  • Renewals. Loans can be renewed in person, or by phone if the equipment is available, but are not guaranteed. If the equipment is not available, the Borrower must return equipment on time or before it is due. Email renewal is not allowed. Equipment that is already late cannot be renewed.
  • It is the Borrower鈥檚 responsibility to know when equipment is due. If you are unsure when something needs to be returned, please check the confirmation email or ask a technician at the Media Resources Centre.

After Hours Return

  • Do not leave equipment unattended outside Media Resources Centre.
  • Do not slide equipment under the door or gate.
  • Never leave equipment unattended or give it to someone other than Media Resources staff.
  • Equipment may be returned when Media Resources Centre is closed by calling campus security at 604-844-3838 from your phone or by speed dial from the black phone in the hallway outside Media Resources. Security will meet with the Borrower at the Media Resources Centre side door to return equipment. Place equipment safely on the designated return area and do not block the aisles or the doorway.
  • After Hours Return is available until 10pm only. It is the Borrower鈥檚 responsibility to contact security ahead of time to allow enough time to return the equipment. No After Hours Return after 10pm, on weekends, holidays, or when the building is closed.

Equipment Loan Suspensions and Charges

  • The Borrower may be charged for lost, damaged, or abused equipment.
  • The Borrower may be penalized for equipment that is found unattended or not properly secured in exhibition spaces.
  • The Borrower is responsible for placing equipment in the designated 鈥淩eturn Area鈥 when returning equipment after hours. The Borrower may be penalized for returning equipment improperly, such as sliding it under the Media Resources' door or gate, piling on top of other equipment dangerously, or blocking the aisles or doorway.
  • Students, faculty, and staff who book Media Resources equipment under their name are responsible for any late returns, damage fees, replacement costs, even if the damage or loss occurred while in the possession of a third party.
  • Using someone else鈥檚 ID or borrowing for someone else is prohibited.
  • Contact the Media Resources Centre as soon as possible if you cannot return your equipment on time.
  • Notices regarding late equipment will be sent to your 全民彩票 email address.
  • The Media Resources Centre may withhold borrowing privileges at any time if the Borrower:
    • has not signed the Borrower鈥檚 Policy Agreement
    • is not authorized for a particular piece of equipment
    • has overdue equipment
    • has three (3) repeated late returns in an academic year
    • has outstanding invoices
    • displays significant disregard for Media Resources Centre鈥檚 policies
    • behaves in an unacceptable manner toward staff
  • Outstanding equipment or invoices may prevent a student from registering in a subsequent semester or receiving their transcripts.
